Special Events Permits
We're here to make the permitting process for special events as smooth as possible. Whether you're organizing a birthday party at one of our parks, a bike race, or a parade we can help guide you through the process. On this page you'll find our Special Event Planning Guide, a brief overview of the permit process, as well as a contact form for one of our dedicated staff to assist you through the process.
The Application Process & What to Expect
Step One: Secure Event Dates
Pick your dates and the facility you want to use and reach out to us for availability and scheduling. A deposit may be required. To see available facilities please visit our facilities webpage here. Please note that securing dates does not imply pre-approval of the Special Event Permit Application.
Step Two: Submit an Application
Submit your application as well as any supplemental requirements for your event at least 90 days prior to the event start date This is when you'll pay the application fee and any other applicable fees. If you have any other documents such as a draft site plan, public safety plan, waste management plan, etc. you can submit those as well.
Step Three: Notice to Proceed
You're almost there! Your application will be reviewed by our staff and you will be sent a Notice to Proceed by email. This process usually takes 10-15 business days. The Notice to Proceed will include a checklist as well as deadlines for any additional items needed.
Step Four: Application Assessment and Approval Process
Once all documentation is received by our team your application will be reviewed and may result in the need for additional information and meetings with the Review Committee.
The event organizer will then follow the custom event permitting checklist and submit all documentation via Smartsheet by the noted deadline.
Step Five: Application Approval, Denial, and/or Revocation
A Special Event Permit is granted once the application, supplemental forms, plans,and payment have all been approved and paid. In most cases, the Special EventPermit will be granted ahead of event-day inspections.
The City of Kyle reserves the right to deny event applications that do not meetingdocument deadlines, conflicts with a city event, fail to complete insurancerequirements, fail to meet event safety guidelines, etc.
